Job Title: Workplace Technology Project Manager
Location: Paddington, London (3 days onsite / 2 days remote)

Overview
We are seeking an experienced Workplace Technology Project Manager to lead a critical migration of our Mitel PBX estate from a legacy platform environment to a modern cloud-based platform.
This role sits within the Digital Workplace function and will take ownership of documenting the current telephony and workplace technology landscape, managing Mitel through a managed service migration, and ensuring security and risk remediation are fully validated as part of the transition.
This is a complex, stakeholder-heavy programme requiring strong technical literacy across unified communications, digital workplace tooling, collaboration platforms, and enterprise workplace infrastructure.
Key Responsibilities
Mitel Telephony Migration
- Conduct a full discovery and documentation exercise of the existing Mitel PBX landscape (legacy estate, integrations, dependencies, risks).
- Define scope, migration roadmap, and governance framework for transition to Mitel cloud platform.
- Manage Mitel as the delivery partner during the managed service migration.
- Oversee cutover planning, risk management, testing, and validation.
- Ensure all previously identified security risks and vulnerabilities within the telephony estate are remediated and formally closed.
- Provide clear reporting on migration progress, risks, and dependencies.
Digital Workplace & Core 365 Environment
- Operate within a broader Digital Workplace ecosystem including:
- Microsoft 365
- Collaboration platforms
- Workspace Technology
- Broadcast & Live Events
- Ensure alignment between telephony transformation and collaboration tooling.
- Support long-term workplace technology strategy development.
Stakeholder & Governance Management
- Work closely with senior business stakeholders across retail and corporate functions.
- Translate technical migration activities into clear business impact statements.
- Manage complex stakeholder environments with competing priorities.
- Provide structured programme governance, RAID management, and executive-level reporting.
- Define and document the radius of responsibility across the workplace technology estate.
Strategy & Future-State Planning
- Use findings from the current-state assessment to inform a longer-term workplace technology strategy.
- Identify optimisation opportunities across communications and collaboration tooling.
- Ensure alignment between digital workplace roadmap and business growth objectives.
Required Experience
- Proven experience as a Project Manager within Workplace Technology or Digital Workplace environments.
- Direct, hands-on experience managing Mitel PBX migrations (legacy/on-prem and cloud platform).
- Experience managing third-party vendors delivering managed service transitions.
- Strong understanding of telephony estates and unified communications environments.
- Demonstrated experience closing security risks within technology migration programmes.
- Experience operating within complex stakeholder environments across corporate and retail settings.
- Strong governance capability (RAID logs, reporting, risk mitigation, stakeholder comms).
Desirable Experience
- Experience within retail or multi-site organisations.
- Knowledge of:
- Microsoft 365 ecosystem
- Meeting room collaboration technologies
- Enterprise SaaS tooling (Adobe Creative Cloud, Monday.com)
- Exposure to workplace technology strategy and roadmap development.
