Job Description

The client is seeking a highly motivated and proactive Business Administrative assistant /Team Assistant to provide excellent team support. The ideal candidate for this role will need to be able to navigate smoothly and change directions quickly within a fast-paced environment, stellar interpersonal skills, drive & initiative. They must also demonstrate good judgment, ability to maintain confidentiality, set priorities and be confident in handling multiple tasks simultaneously. Being detail oriented and having consistent and timely follow through will be essential to success.

Responsibilities

Responsibilities include but are not limited to:

  • Light calendaring for team meetings sent from our team rhythm of business calendar.
  • Liaising with partner teams such as IT and Facilities for items such as equipment, services and supplies.
  • Assist with establishing equipment ordering and supply guidelines ensuring lowest cost/best quality options are chosen. Acting as interim approver on team expense reports, ensuring coding accuracy.
  • Successfully own and manage Hardware and Asset Tracking.
  • Coordinate catering, venue selection and logistics for internal events, off sites, morale events, team all hands, large scale meetings and celebration events for both the MSAI London Team and London Engineering Community.
  • Cross collaborating, planning, and support including All Hands, LT meetings, Focused Initiative groups and other group meetings as needed.
  • To create and own a streamlined onboarding process for new hires.
  • Assisting with space planning, office updates and changes and facilities requests.
  • Maintaining Distribution lists, security groups and organizational charts.
  • End to End support for the Microsoft Procure to Pay Process for supplier payment including PO creation and Budget Tracking.
  • Assist with other projects as requested by the Business Operations Team.

Qualifications

  • 2years+ experience in a fast-paced administrative support or equivalent customer service driven role.
  • Strong cross-team collaboration and organizational skills.
  • Ability to consistently demonstrate a can-do and customer service attitude.
  • Collaborate on planning and support of all-up events including All Hands, morale events and other events as needed.
  • Proven excellence in administrative skills and functions.
  • Proficiency with Microsoft productivity software including Outlook, all Office suite programs, SharePoint, One Note, Teams etc. Strong Excel skills preferred.
  • Comfortable operating within ambiguity and changing direction rapidly to accommodate a fluctuating work environment.
  • Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization.
  • Excellent written and verbal communications skills.
  • Maintain the confidentiality of highly sensitive material with tact and professionalism.
  • Desire to take on big challenges and the ability to see the big picture as well as the details.
  • Ability to react with appropriate urgency to situations and requests.
  • Strong attention to detail with strong problem-solving and troubleshooting skills.
  • Personable and approachable.
  • Efficient and confident in professional manner.
