Role Title: Project Administrator

Location: London- 3 days per week on site

Rate: £420 to £480 via umbrella company

Length: Initial 3 months with strong potential for extension

Role Summary:

The Project Support Officer will provide administrative, coordination, and tracking support to ensure the smooth execution of the IT Architecture Ways of Working workstream at Marks & Spencer. This role will assist in project planning, stakeholder engagement, risk, and issue management, and maintaining project documentation. The successful candidate will play a key role in supporting the Project Manager to ensure deliverables are met within agreed timelines.

Key Responsibilities:

Project Coordination & Administration

  • Assist in maintaining project plans, timelines, and milestones.
  • Support in updating and tracking the Gantt chart, action tracker, and RACI matrix.
  • Schedule and coordinate meetings, workshops, and stakeholder engagements.
  • Take meeting minutes, document actions, and follow up with responsible parties.
  • Maintain project documentation and reports on SharePoint, ensuring version control and accessibility.

Risk, Issue & Change Management

  • Maintain and update the Risk & Issue Log, tracking progress and ensuring timely resolution.
  • Support the Project Manager in change request tracking and approvals.
  • Escalate risks and issues as needed to ensure project continuity.

Stakeholder Engagement & Communication

  • Assist in preparing and distributing weekly status reports and executive summaries.
  • Facilitate communication between internal teams, external vendors, and stakeholders.
  • Provide administrative support for governance meetings and documentation reviews.

Financial & Resource Tracking

  • Monitor and update resource allocation and budget tracking documents.
  • Support procurement-related tasks and coordination with finance teams.

Continuous Improvement & Knowledge Management

  • Maintain a knowledge repository for all project documentation, lessons learned, and best practices.
  • Assist in training and onboarding sessions related to new processes and methodologies.

Skills & Experience Required:

  • Project Management Support Experience - Preferably in IT, digital transformation, or business change projects.
  • Strong Organizational Skills - Ability to manage multiple tasks, priorities, and deadlines effectively.
  • Stakeholder Management - Comfortable working with senior leaders, IT teams, and business stakeholders.
  • Proficiency in MS Office & SharePoint - Strong skills in PowerPoint, Excel, Word, and SharePoint document management.
  • Experience with Project Tools - Familiarity with Jira, Trello, MS Project, or similar tools is beneficial but not essential."
