Event Logistics Manager

About the role:

One of our global client teams in the technology industry is looking for an Event Logistics Manager. You will have end-to-end event delivery expertise which will include sourcing, negotiating, contracting, programme planning, on-site event management, budget management and final reconciliation. You will work on a variety of programmes simultaneously and serve as key liaison between client stakeholders and vendors.

You are comfortable in managing external vendors and suppliers, including contract management, and can work individually or as part of a wider team.

As an Event Logistics Manager, you will:

  • Have overall responsibility for the planning and execution of a range of events in the UK and Overseas.
  • Consult with stakeholders to gather all requirements to deliver the right event solution to meet their objectives.
  • Consistently apply and demonstrate your event expertise to our clients.
  • Manage external vendors and suppliers - for sourcing, negotiating, contracting, and onsite event delivery.
  • Maintain financial responsibility of the event budget from initial budget to final reconciliation.
  • Negotiate rates, terms and conditions on our client's behalf - maximising spend to drive savings without compromising on quality.
  • Prepare and manage all event documentation - critical paths, event schedules, staffing grids, running orders, delegate materials.
  • Provide on-site support which may include international travel.
  • Keep up to date with company and legal guidelines for event health and safety, privacy (e.g., GDPR), and security; and provide guidance to clients.

  • Ability to instil confidence in your clients that we are experts in our field.
  • Proven end-to-end UK and overseas event delivery experience on a variety of events.
  • Proven Meeting Technology and Delegate registration knowledge and expertise.
  • Ability to manage both internal and external suppliers in a sourcing, negotiating, and contracting capacity.
  • Excellent attention to detail and budget management skills.
  • Proficient in Microsoft office applications.
  • Ability to react, think on your feet, offer solutions, work across multiple projects and timelines simultaneously.
  • UK & International venue and destination knowledge.

You might also have:

  • Experience using a virtual meeting platform experience (WebEx).
  • Previous experience of delivering events for the technology sector.
  • Experience using Cvent.
  • Previous experience and knowledge of event mobile apps.
