Shipping Administrator

Motherwell, Scotland

Until end of March 2021

Principal Responsibilities

  • Prepare sales/service orders in readiness for Pick, Pack, Ship
  • Generate and Print Ship list for dispatch
  • Generate and complete commercial invoices relating to relative sales order
  • Work in line with Standard Operating Procedures (S.O.P)
  • Generate and distribute shipping quotes to internal sales support
  • Generate export documentation (Chamber of commerce certificates)
  • Prioritise backlog ship lists
  • Work in line with HSE guidelines
  • Assist in cycle counts of inventory
  • Promote and work towards 5s and lean principles
  • Aid in the put away of goods-in
  • System transactions in SAP/carrier shipping systems in line with the associated processes
  • Ideally to have 2 years' experience in shipping, UK and export systems, in a manufacturing industry
  • Maintain computer and manual files.
  • Analyse customer order, for shipping and invoicing requirements in order to carry out our customer's expectation
  • Establish shipment method, and shipping cost, enter this data and any other data that may be required into the Company computer sales order processing system in readiness for invoicing.
  • Receive computer output and collate output
  • Creating and typing all documentation for dispatch of the goods according to method of shipment to be used and requirements of the destination point.
  • Presenting the shipping documentation to dispatch for collation with relevant cartons and collection by carrier or shipping agent
  • Retain files after shipment until all post shipment action is complete.
  • Liaise with other departments/sections on problems as necessary.

The Candidate

  • Education required (academic and/or technical education)
  • GSCE or equivalent in Maths and English
  • NVQ2 in a relevant discipline would be an advantage

Work Experience Required

  • Previous warehouse experience in a warehouse/inventory/imports/exports experience would be preferable.

Technical Skills & Specific Knowledge required

  • C literate including Microsoft packages, S.A.P experience also advantageous

Behavioural Competencies required (e.g. organisational skills, ability to lead a team, etc.)

  • Ability to communicate with personal of different backgrounds and seniority
  • Proactive approach to implement new procedures and meet customer and business demands; to meet shipping targets
  • Highly organised and methodical approach
  • Self-motivated with a positive and flexible attitude along with good time keeping
