Senior Program Coordinator

Reporting line: Administration Team Leader

Location: Southampton

Job Purpose

TAPFIN has identified the need for a Senior Program Coordinator to work for our client, GSK, to be responsible for providing GSK control of the on-boarding and off-boarding process of their temporary workers.

We are looking for a self-motivated individual who thrives in a fast-paced environment, possesses excellent communication skills and strong attention to detail to ensure all new workers at GSK are onboarded in a timely manner.

Key Responsibilities

  • Connect with managers over email/telephone/Skype to understand more detailed information on the resource(s) they are trying to onboard/offboard.
  • Send out an onboarding template for hiring managers to complete and return.
  • Input the returned information into the VMS tool, Fieldglass, accurately and use the team spreadsheet to track and manage the process of the onboarding.
  • Create and maintain relationships with both internal and external stakeholders/suppliers to ensure tasks are completed as required.
  • Liaise with relevant Hiring Managers to confirm/change role classification where necessary.
  • Deal with queries and raised Remedy tickets, tracking all activity until the queries have been resolved.
  • Other similar responsibilities that will support the success of the team.
  • Support with team members queries, step in when the Team Leader is not available, and ensure core values of TAPFIN are being demonstrated by everyone

Essential Experience

  • Previous experience in a customer focussed environment
  • Positive communicator with excellent telephone manner and the confidence to deal with sometimes challenging internal and external stakeholders.
  • Proven self-motivated individual who thrives in a fast-paced environment and possess a strong attention to detail.
  • Ability to prioritise and organise workload effectively
  • Flexible attitude and adaptable to change with a helpful 'can do' approach
  • Strong IT Skills including Outlook, Word & Excel
  • Ability to multi-task and to thrive under pressure

Desired Experience

  • Experience within an MSP Environment or Staffing/Recruitment Industry
  • Having worked with a support management system - raising and resolving tickets
  • Experience with any of the following: Remedy, Gemini, or VMS tool 'Fieldglass'
