Personal Assistant to Head of Manufacturing

The work location is in Holmes Chapel and is a 3 Month contract.

Pay rate is £12.82 ph

The role is working for a well-established pharmaceutical company, which specialises in the manufacturing of inhalation products

Description

Provide PA support to the Head of Manufacturing and Administrative support to their direct reports and teams within the Department.

Manage, motivate, coach and develop Administration team. Ensure effective and efficient operation of the team to provide holistic administrative support, department HSE KPI performance reports and GMP documentation compliance.

  • Verbal reasoning, relevant computer skills, time management and interpersonal skills
  • General HSE awareness desirable, not a pre-requisite as training will be provided.
  • RSA Stage III or equivalent, relevant vocational experience

Duties and Responsibilities:

  1. To provide confidential secretarial/administrative duties for the Head of Manufacturing and Operations Managers and their teams e.g. diary management, typing, post management, office supply management, photocopying, filing/e-filing and absence management support.
  2. To co-ordinate and organise communications, visits, events, conferences and travel arrangements for all department personnel and relevant visitors. Ensuring costs and logistics are efficiently managed.
  3. Coordination of department invoicing, blanket orders via site Business Systems. Budget control of Office Stationery, Manufacturing Area Shoes and equipment cleaning services
  4. Effectively manages and supports cross-functional team colleagues when required e.g. assisting HSE administration and management of official site documentation (Batch Record Sheets, Standard Operating Procedures, Policy Documentation through the site's GEODE system).
  5. To organise and coordinate internal Manufacturing office relocations and introduction of new staff to the department.
  6. To undertake specific projects in support of the department as identified by the Head of Manufacturing e.g. department renovations, PPS.
  7. To be conversant with and provide help and advice on the use of recognised company software packages and Microsoft Office applications. To update presentations, create and maintain spreadsheets and type up documents on behalf of Managers
  8. To effectively deal with any internal/external communications/telecommunications, providing a professional customer service image.
