Fleet Administrator - Fleet Maintenance and Repair - Heathrow Airport

A market leading organisation is currently looking for a Fleet Administrator to take on a permanent position ASAP. The company is highly regarded for its employee recognition and vital position in today's market place. The main responsibilities of the role are as follows -

To provide telephone support to all GSE Customers, and proactively manage fleet availability in a live 24/7 Support Centre environment, ensuring a high standard of customer service is delivered at all times. This role will be responsible for handling and resolving; breakdowns (including. recovery), incidents, defect reporting, VOR progress/status updates, complaints/ compliments and all other query resolution and will facilitate all communication between GSE Customers and the organisation, and therefore be responsible for constant monitoring of fleet availability and responding/actioning as required.

The main responsibilities of the role are as follows -

  • Liaison with both internal and external parties, such as Support Centre Team, internal workshops, the Ramp operation, Contract Performance Team and sub-contract suppliers and carrying out booking activities, progress chasing and invoice review.
  • Respond to customer needs, maintaining operational targets and ensuring service level agreements met at all times such as breakdown attendance time.
  • Accountability for all customer communication/calls, including logging details via the incident management system, and facilitating all required actions, including raising and/or logging information on Ramp/Mobile and workshop jobcards.
  • Monitor, control and manage the incident alert system.
  • Allocate and control all breakdown, Ramp/mobile jobs through to completion, including arranging vehicle recovery or movement to appropriate workshop as required.
  • Process and close all Ramp/Mobile breakdown and workshop maintenance/repair, incidents and jobcards.
  • Control the complaints and compliments process, ensuring necessary actions taken within the required timeframe and escalate to the management team when required.
  • Ensure all telephone calls are dealt with promptly and efficiently, meeting call targets and quality measures.
  • Monitor recharge activity, ensuring recovery of all misuse and damage costs.
  • Process warranty claims with manufacturer, ensuring recovery of costs.
  • Liaison with suppliers/contractors to arrange repair works, including; raising purchase order number, agreeing repair/activity costs and receipting invoice.
  • Active involvement in the day to day front line service delivered to the customer.
  • Operate as an active team member and support colleagues where necessary.
  • Support with other administrative duties including, workshop job review/data input, invoice review/receipt and fleet administration tasks e.g. RFL and Airside pass allocation.
  • Comply and contribute to the effective implementation of ISO business standards, and internal business processes and policies.
  • Protect the information assets of the Company and comply with the Company's Information Assurance policies and procedures.
  • To carry out any other reasonable duties as requested by Support Centre Manager.

The successful candidate will display the following skills and experience -

  • Automotive Industry experience (Desirable)
  • Proven experience in a customer service environment
  • Professional and polite telephone manner
  • Ability to deal with large number of calls and stay calm under pressure
  • Strong, confident individual who can think on their feet and proactively solve problems.
  • Demonstrate a natural ability to effectively build strong customer relationships
  • Excellent communication skills
  • Ability to prioritise own workload
  • Have a natural desire to succeed
  • Fully conversant with Microsoft Office suite
  • Must hold a full UK manual driving license.
  • Must hold or be eligible to obtain a valid Airside Pass.
  • Experience of working within a GSE / Airport environment (Desirable)
