Job Title - Executive PA

Start date - ASAP

Length of assignment - Up until Christmas

Location - Soapworks Salford Quays

Hours of work - 37.5 (Monday to Friday between the hours of 08:00 and 17:00 with a 30 minute lunch)

The Personal Assistant will be required to provide proactive and professional PA support to four

Technology Directors including:

  • Director of Colleague Systems
  • Director of Technology Optimisation
  • HR Director

Taking responsibility for a variety of tasks and supporting the Directors in their day-to-day duties by providing comprehensive support where required.

What are the key responsibilities of the role?

  • Extensive and complex multiple diary management
  • Arranging travel to and from other offices, visits and transfers
  • Arrange hotel bookings, meetings and itineraries for travel abroad
  • Promoting a positive image of TTT (internally and externally)
  • Day to day management of Directors' administration requests such as expenses, presentations, minutes/actions from meetings & conference calls and distributing to the relevant individuals
  • Maintaining holiday tracker for Director's direct reports
  • Understanding of organisational structures across the business would be a benefit
  • Regular liaison expected with additional business units and project groups
  • Printing/collation of confidential/sensitive documents
  • Meet and greet visitors to the site
  • Collaborating with other team members
  • Build positive/effective working relationships with the Team and key stakeholders
  • Assist new starters occasionally into the business by helping with induction process, ordering of IT equipment etc.

Must-have:

  • High attention to detail, highly organised
  • Ability to work under pressure
  • Experienced in supporting Senior employees
  • Competent user of MS Outlook, Word, Excel etc

Great to also have:

  • Coordinating international travel arrangement
  • Proactive approach
