Executive Assistant / PA


3 Month contract

Daily rate range: £150 to £180 (dependant on experience)

Purpose of role:

To provide dedicated and professional support to the divisional CEO in order to facilitate the efficient operation of their area of responsibility. To support other Directors when required.

Qualifications/ Technical Skills:

  • Proficient in all Microsoft applications including PowerPoint, Word, Excel and Outlook
  • Strong secretarial skills (Typing, Audio)
  • Research and written communication skills
  • Organisational ability and attention to detail
  • Able to exercise discretion and maintain confidentiality
  • Previous experience of providing PA support at a Director level essential

Top 5 Major Tasks and Activities:

  • Proactive co-ordination and planning of Director's time
  • Act as interface for the Director dealing with all telephone calls, mail, email and task management tools, filtering and responding as appropriate
  • Manage diary and ensure that relevant documentation / background information and travel arrangements are provided in support of scheduled meetings
  • Arrange and support monthly Board meetings
  • Draft/respond to correspondence often from sparse information and prepare / produce letters, documents, reports, business briefs, reports and presentations
  • Undertake research on topics or gather information to ensure the Director is appropriately briefed

Additional Key Accountabilities:

  • Plan and organise events and conferences as and when required
  • Protect the Director from unsolicited approaches in a friendly but assertive manner
  • Establish and maintain productive working relationships with internal and external secretaries and PA's
  • Maintain records and filing systems as appropriate to the role
  • Manage and co-ordinate travel expenses
  • Provide secretarial support to colleagues and visitors as and when required
  • The role requires flexibility - it may incorporate travel and early or late working
