I recruit for a FTSE 100 Engineering Support Services Organisation who is seeking an experienced Executive Assistant.

Supporting two remote Health and Safety Directors you will provide a high quality and professional service and facilitate the efficient operation of their area. This is to be achieved within a flexible, demanding and time pressured environment where organisational skills, attention to detail and meeting deadlines is paramount.


  • Manage complex diaries and appointments and manage arrangements for UK and International travel ensuring that relevant documentation is provided.
  • Monitor calls, mail and emails that come into the office and respond in a timely and resourceful manner.
  • Manage confidential and sensitive matters.
  • Support, assist and plan arrangement of functional meetings and conferences.
  • Liaise with internal and external stakeholders including third party suppliers.
  • Prepare document packs and updates for meetings and attend to facilitate and act as a minute taker.
  • Produce documents, reports and communication material working to specifications and limited briefs.
  • Provide secretarial support to visitors and colleagues.
  • The role requires flexibility and may involve occasional travel.

Experience and Attributes:

  • Executive secretarial experience of working for multiple reports in a high profile and pressured environment.
  • Extensive, proven experience in diary, meeting and e-mail management.
  • High quality letter writing (grammar and spelling).
  • Driving licence is required to facilitate site visits where necessary.
  • Proficient in Microsoft applications to include PowerPoint, Word, Excel and Outlook.
  • Professional customer service and telephone manner.
  • Advanced organisational skills with the ability to prioritise and achieve deadlines.
  • Ability to empathise with, understand and 'second guess' managers needs.
  • Ability to work on own with a remote manager and within a dispersed team.
  • Ability to deal with confidential and sensitive matters.
