Executive Assistant / EA / Personal Assistant / PA

An exciting opportunity has arisen for an experienced Executive Assistant to join the Legal services division of a leading blue chip organisation. The legal division provides critical online and print information, decision support tools, software and services and are rapidly growing their business in the UK.

You will be responsible for supporting the MD of the legal UKI business. This will include administration of both day-to-day activities and business critical operations, on occasions dealing with highly sensitive and confidential information. The role will also involve working closely with the Executive Leadership team and supporting the MD with her internal and external networks and industry involvement.

Key Responsibilities:

  • Extensive calendar management including meeting coordination, both internally and with executives and assistants (often across time-zones)
  • Administration duties such as arrangement of international and domestic travel, expense reports, processing new starters/leavers/contractors, filing, screening calls, taking messages and making catering arrangements
  • Support the MD in preparations for meetings and presentations with logistics, research and materials
  • Support the MD and Executive Leadership Team with business engagement initiatives and activities for the legal business to accelerate awareness, understanding, belief and actions by employees that reflect business priorities
  • Support the MD and Executive Leadership Team with pro bono activities
  • Manage and create purchase orders
  • Work with communications to manage an internal calendar or events, townhalls and webex updates
  • Build and manage a database of high calibre contacts in the Legal profession for the MD at external events

Skills and Experience:

  • Proven experience as an EA supporting senior levels
  • Demonstrable project management experience
  • Ability to prioritise and manage multiple projects simultaneously
  • Basic understanding of financial expense reporting
  • Advanced knowledge of Microsoft Office
  • Ability to build relationships, influence and gain resource from across the organisation

This position will pay up to £45,000 plus benefits and will be based in Canary Wharf.
