Commercial Operations Administrator

Stockley Park

£10 - 16.50 p/h

6 month contract (20/8/18 - 19/2/19)

Role and Responsibilities, but not limited to:

  • Organisation of recruitment interviews liaising with hiring managers, HR and external suppliers to book candidates in for interviews
  • Logistics management for internal and external meetings
  • Process finance requests such as purchase orders, requests for payments, invoices and new vendor requests within electronic systems adhering to internal deadlines
  • Liaise with the Legal department to produce appropriate contracts for customers and suppliers, and record and securely store all final signed contracts
  • Filing of hard copy job bags and maintenance of the job bag archive room.
  • Ad-hoc filing of contracts, speaker brief documents etc.
  • Liaise with brand managers and external third-party logistics provider regarding the storage and supply of all marketing materials.
  • Support Commercial Operations Assistants in the execution of withdrawals process as required.
  • Stationery ordering and maintaining office stationery stock levels
  • Occasional travel bookings for EU, UK and International travel - flights, rail, accommodation and ground transfers
  • Diary management including booking teleconferences, internal/customers/supplier meetings through Outlook
  • Any other projects / support consistent with the role.

Skills and Knowledge Requirements:

The individual must be a strong team player. They must be pro-active, self-motivated detail oriented with the ability to multi-task. They must be able to prioritise and work independently with limited supervision on multiple tasks and produce high quality work under tight deadlines whilst adhering to company standard operating procedures.

This individual must maintain familiarity with a broad range of projects and priorities and maintain high quality and frequent communication with peers and other employees throughout the company as and when appropriate. Also, to be comfortable liaising with senior management and external clients.


  • Minimum of Maths and English GCSE Grades A-C
  • Conscientious and self-motivated team player
  • Excellent communication skills (both oral and written) with ability to communicate with associates at all levels of the organization
  • Must exhibit professionalism and have excellent organisational, time management, customer service, and interpersonal skills. Ability to multi-task and handle multiple deadlines and priorities without losing attention to detail.
  • Proficient technical skills to include but not limited to Microsoft Office Suite including Word, PowerPoint, Excel and Outlook
  • Experience of pharmaceutical industry/in-house advantageous
  • Previous experience in booking UK, European and International travel advantageous
