Administration Assistant

We have an opportunity for an Administration Assistant to join Experis on a permanent basis. You will be working as part of our Employed Consultant team.

We require an experienced Admin Assistant to work onsite with one of our clients who are a leading broadcasting media organisation offering both TV & Telecommunication services to over 10 million homes.

Job Purpose

Provide Administration Support to Office Manager and TV Engineering Design, Projects and Support Management Team.

Key responsibilities:

  • Direct support to Office Manager in delivering key initiatives and events.
  • Assisting line managers with onboarding (including Cisco Engineers) and new starters into department.
  • Attend TV Engineering meetings to take actions/minutes where requested.
  • Manage and attend Daily Awareness Group Meetings.
  • Assist Management team & their direct reports to better manage their diaries/day to day tasks
  • Respond and process all incoming departmental email, post and calls, and dealing with them personally where applicable.
  • Covering Office Manager, including holiday cover.
  • Provide accurate, efficient and high level administrative support in terms of general correspondence and day to day matters including collation of weekly report.
  • Assist in the smooth running the TV Engineering department in regards to environment related issues
  • Stationery ordering.
  • Arranging travel for TV Engineering individuals.
  • Assist in diary management, including setting up meetings on and off site - booking and setting up meeting rooms/ conference calls/ facilities and refreshments.
  • Managing and tracking department training spend and organising training course logistics on site when required.
  • Manage and maintain access to all Technical Equipment rooms owned by TV Engineering, including a Quarterly audit.
  • Keep all key documentation/policies up to date and relevant.
  • Report and record any safety issues to line management; and participate in the objectives to be a safe & healthy workplace.
  • Maintain good working relationships with other members of the team to facilitate good services.

Candidate Requirements:

  • Previous experience of working in an administrative role (in a corporate environment useful).
  • Excellent interpersonal and communication skills, able to display a good degree of common sense and initiative.
  • Liaise appropriately and effectively with Stakeholders, management and team.
  • The ability to manage busy diaries and confidential correspondence.
  • Demonstrate discretion and diplomacy at all times.
  • Ability to keep standards high and ensure that problems are highlighted and addressed as appropriate.
  • Must be able to independently work, but also be a good team player within TV Engineering and relevant stakeholders.
  • Excellent organisation, planning and prioritising skills are essential.
  • Flexibility and commitment will be required to meet business needs.
  • Execute attention to detail.
  • Possess a sound working knowledge of MS Outlook, Word, Excel, PowerPoint, Sharepoint.
